The situation
The problem is not missing knowledge – it is missing access
Valuable knowledge is created in your company every day. It is documented, stored and passed on. Yet it is often not available where it is needed.
-
Knowledge sits scattered
Contracts, process descriptions, technical documentation, policies and experience are spread across different folders, systems and departments.
-
Staff search instead of working
Information is collected manually or requested again and again from the same experienced colleagues.
-
Knowledge depends on individuals
Often only a few people know where information can be found and how it should be interpreted.
-
Public AI creates new uncertainty
General AI services can help with research. For confidential company information, however, they are not the right environment.
The result: unnecessary costs, longer onboarding, recurring interruptions and a growing dependency on individual knowledge carriers.
Knowledge cost calculator
What does searching for knowledge cost in your company?
Select your number of employees and receive a model calculation of the potential hidden knowledge costs.
Enter all employees – the calculation accounts for the knowledge-work share.
Model calculation
Estimated cost of searching and follow-up questions
per yearOf which addressable through better access to company knowledge
per yearThese costs do not come from one big mistake. They add up from many small interruptions:
- Searching documents and folders
- Asking colleagues for information
- Recreating content that already exists
- Comparing different versions
- Collecting knowledge from several sources
Transparent basis of calculation
- 1 hour of searching and follow-up questions per knowledge worker per day
- 45 euros labour cost per hour (fully loaded)
- 210 productive working days per year
- 60 percent of staff doing document-based knowledge work
- 50 percent as a realistically addressable share
The calculation serves as orientation. Actual figures differ by company, industry and way of working.
The solution
Ask your company knowledge
DIGITAL ADMIRAL makes your existing information accessible through a central AI interface. Your staff do not need to know which folder or system holds a piece of information. They ask their question the way they would ask an experienced colleague.
-
Find information faster
Search large document collections with questions in natural language.
-
Take load off your experts
Recurring questions no longer have to be answered by the same people over and over.
-
Secure knowledge long term
Existing information becomes easier to reach and less dependent on individual employees.
-
Decide on a firmer basis
Relevant content from several documents can be brought together and put in context faster.
Example questions from everyday work
- What notice periods are stated in this contract?
- What steps are defined for a complaint?
- Which safety requirements apply to this process?
- What is the difference between product A and product B?
- What obligations arise from these documents?
- Summarise the key changes between both versions.
DIGITAL ADMIRAL does not replace your employees' expertise. It makes sure existing knowledge is found faster and used at the right moment.
How we differ
A proven platform instead of off-the-shelf software
Documents, user rights, data protection requirements, processes and integrations are rarely identical. A pure self-service solution does not do justice to those differences. A complete new development would be expensive, slow and carry unnecessary project risk.
-
A proven technical base
The platform exists, is standardised and prepared for recurring requirements. That shortens rollout and lowers project risk.
-
Individually set up
We configure DIGITAL ADMIRAL to match your use cases, documents, user structures and security requirements.
-
Guided rollout
You receive the solution set up and introduced – with use cases that fit your daily work, and trained users.
-
Fixed points of contact
From analysis through the pilot to rollout you are supported by people who know your company and your requirements.
You get a proven enterprise AI, set up specifically for your company.
Is it a fit?
For companies where knowledge is a factor of production
DIGITAL ADMIRAL is aimed at mid-sized companies that hold extensive internal knowledge and want to use it securely, in a structured way and more efficiently.
DIGITAL ADMIRAL fits particularly well when …
- staff regularly search for information in documents
- knowledge is spread across different folders, systems or sites
- experienced colleagues frequently answer the same questions
- onboarding and knowledge transfer take up a lot of time
- technical documentation, policies or process descriptions play an important role
- sensitive information is processed, ruling out public AI services
- knowledge could be lost when experienced employees leave
Typical areas of use
When DIGITAL ADMIRAL is probably not the right fit
DIGITAL ADMIRAL is not a simple chat app for individual users and not a low-cost standard subscription for occasional document questions.
The solution suits companies with a concrete organisational use case, extensive or valuable knowledge assets, several potential users, elevated requirements for data protection or data sovereignty, and the readiness to introduce AI professionally and for the long term.
How it works
From the first idea to a productive enterprise AI
Rollout happens in clearly defined steps. That way we examine the concrete benefit before a larger investment decision is made.
-
Free discovery call
In a non-binding first conversation we get to know your company, your starting position and possible use cases. Among other things we discuss:
- where staff search for information today
- which documents and knowledge sources are relevant
- which departments could benefit
- which data protection and security requirements exist
- whether DIGITAL ADMIRAL is fundamentally a fit for your company
Outcome: An honest first assessment of potential, fit and possible next steps.
-
Analysis and concept
In the structured analysis phase we examine your processes, knowledge sources and requirements in detail. Depending on the project this includes:
- analysis of existing information and knowledge flows
- identification of suitable use cases
- prioritisation by benefit and feasibility
- review of data protection and information security
- definition of relevant documents and data sources
- development of a technical and organisational target picture
Individual technical pilot – at no extra cost
Based on the analysis we set up a limited pilot with selected documents. You try the solution with your own content and real questions from your daily work, assess the quality and relevance of the answers and sharpen the requirements for a later rollout.
Outcome: A concrete basis for your decision and for implementation.
-
Productive rollout
If the pilot convinces you, DIGITAL ADMIRAL is rolled out to match your requirements. Possible services include:
- provision of the platform
- setup of hosting or local infrastructure
- connection of relevant data sources
- configuration of users and permissions
- individual adjustments and integrations
- introduction and training of employees
- ongoing maintenance, updates and support
Pricing and funding
A clear start. Transparent next steps.
Rollout is not an incalculable development project. Every phase has a clear goal and creates the basis for the next decision.

Product and use
What is DIGITAL ADMIRAL?
DIGITAL ADMIRAL is an individually configured AI platform for company knowledge. Staff ask questions of approved documents and knowledge sources and receive relevant answers based on that content. The solution is not provided as anonymous self-service SaaS but set up to match each company's requirements.
Is DIGITAL ADMIRAL finished standard software?
DIGITAL ADMIRAL has a standardised technical base system that forms the foundation for all client projects. Configuration, data sources, permissions, operating models and integrations are adapted individually. That way the solution does not have to be built from scratch but stays flexible enough for differing requirements.
Do we need AI expertise ourselves?
No. We handle analysis, concept, technical setup and, on request, ongoing operations. Your departments contribute the knowledge about processes, documents and use cases.
Which documents can be used?
Particularly suitable are PDF documents, manuals, contracts, policies, process descriptions, technical documentation, service specifications, quality management records and internal knowledge collections. The specific file formats and data sources are agreed during the analysis.
Can existing systems be connected?
In principle yes. Depending on the project this can include document platforms, network drives, cloud storage, ERP and CRM systems or other internal applications. The concrete integration effort is assessed during the analysis and concept phase.
How reliable are the answers?
DIGITAL ADMIRAL answers questions based on the information provided and approved. Quality depends on how current and well structured the documents are, how unambiguous the question is, the technical configuration and the chosen use case. Critical professional, legal or commercial decisions must still be reviewed by responsible people.
What happens if the answer is not in the documents?
The system should not replace missing or ambiguous information with invented statements. The answer logic is configured so that uncertainties and missing foundations remain transparently visible.
Is DIGITAL ADMIRAL suitable for small companies too?
What matters is the concrete use case rather than headcount alone. The solution makes sense above all where extensive knowledge, sensitive documents, recurring information searches or complex processes play a relevant role. Since productive rollouts start from around 14,995 euros net, it is often not economical for very small companies.
Data and security
Where is our data processed?
The operating model is chosen to match your requirements. Depending on the project, options include operation in a GDPR-compliant private cloud, dedicated infrastructure, operation on your own hardware or fully local data storage within the company. Which variant makes sense depends on data protection, information security, budget and existing IT infrastructure.
Are our documents used to train public AI models?
Company documents are not to be used in an uncontrolled way to train public AI models. The concrete data processing and the services used are defined transparently within the respective operating model and regulated contractually.
Is DIGITAL ADMIRAL GDPR-compliant?
DIGITAL ADMIRAL is introduced with a data protection and security concept matched to the respective operating model. Depending on the project this includes defined storage locations, controlled access rights, technical and organisational safeguards, data processing agreements, deletion and retention concepts and transparently named service providers. A blanket data protection assessment without looking at the concrete operating model would not be serious.
Can users be limited to certain information?
A role and permission concept can be part of the productive rollout. It defines which users or departments may access which documents, knowledge areas or functions. The required scope is determined during the analysis.
Process and collaboration
How does the free discovery call work?
In the first conversation we clarify your starting position and check whether DIGITAL ADMIRAL is fundamentally a fit for your company. We look at possible use cases, existing knowledge sources, company size, security requirements and objectives. The call is non-binding and does not yet replace a detailed analysis.
What is part of the analysis and concept phase?
The structured examination of your knowledge sources, processes, requirements and potential use cases. You receive a comprehensible target picture and concrete recommendations for a possible rollout. In addition, a limited technical pilot is set up based on selected documents.
Is the technical pilot really included at no extra cost?
Yes. The pilot is part of the analysis and concept phase costing 4,995 euros net. It is set up based on the analysis results and serves to verify the key assumptions with real documents and questions.
How long does a rollout take?
That depends on the scope. A clearly defined use case with few data sources can be introduced considerably faster than a company-wide solution with several systems, complex user rights and local infrastructure. After the analysis and concept phase a realistic timeline can be drawn up.
Are we obliged to roll out after the pilot?
No. The pilot exists precisely so that benefit, quality and fit can be assessed in practice before a larger investment decision. Afterwards you decide whether and to what extent DIGITAL ADMIRAL is rolled out.
What happens after the discovery call?
If DIGITAL ADMIRAL is fundamentally a fit for your company, you receive a concrete offer for the analysis and concept phase. Only after your order do the detailed analysis and the preparation of the technical pilot begin.
Pricing and funding
What are the total costs?
The discovery call is free and non-binding. The analysis and concept phase costs 4,995 euros net and includes the individual technical pilot. Productive rollouts start from around 14,995 euros net; the concrete price depends on requirements, operating model, data sources, user structure and integrations.
Can the analysis be funded?
The consulting part of the analysis and concept phase can be subsidised through a funding programme where the respective conditions are met. Technical implementation, software rollout, hardware and ongoing operations are considered separately. We check the concrete eligibility together in the discovery call.
